Section II: Community Need

Please state in measurable and quantifiable terms the specific community need that the Philly Fellow will address, including the number of people in the community directly affected by the problem.

The Philly Fellow will work to build the community of White-Williams Scholars alumni through engaging them in various activities and events.  We envision alumni taking a more active role in working with current students through tutoring, advisement, and community service.  We estimate that we graduate 300-400 high school seniors each year, 90% of whom cease activity with the organization once they leave high school.

Describe how your agency addresses this need, and how the new capacity created by this fellow will help alleviate the problem.

With our last two Philly Fellows we have brought more focus to building an alumni community.  It is our hope that what we’ve learned over the past two years coupled with our organization’s move towards a deeper level of integrated services we will be able to increase our level focus as it relates to alumni affairs.

Describe the level of community involvement in the fellow’s project.

Since our alumni are part of the general community, we plan to have the fellow work coordinate College Connection (current college prep) students and alumni in planning and executing at least two community service events within the year.

Section III:  Job Description

Please outline in list form the fellow's duties and responsibilities.

•  Transfer alumni data from development to program database 
•  Develop, maintain and track the relationship between alumni and the organization 
•  Expand collegiate communities by number of students and number of schools 
•  Coordinate opportunities for alumni to participate in activities that support White-Williams Scholars programming, development and the alumni community itself including tutoring and advising 
•  Sustain current alumni activities, i.e. Rev. Henry Scholarship Fundraiser, MLK Day of Service, Graduation, etc. 
•  Develop at least two alumni/student workshop/forum events 
•  Write and distribute a quarterly alumni newsletter 
•  Provide support and insight to the Alumni Committee 
•  Spearhead public relations efforts by writing media advisories and press releases about our Scholars, alumni and programs.

Please describe your agency's plan to orient and train the fellow.

•  Have a one-on-one orientation with each member of the staff to gain an overview of the organization’s operation. 
•  Spend more focused time with the Development and Program Departments to understand the population we serve and the interaction between current students and alumni. 
•  Meet and gain further insight into interacting with alumni through interaction with the Alumni Committee Chair and other alumni closely connected with the organization.  
•  Be trained on Efforts to Outcome (ETO) and Results Plus! software for the purpose of transferring and accessing alumni records.

Section IV:  Project Plan

Please describe the proposed project goal(s) you expect the fellow to achieve.  These should relate to your community need and reflect the long-term impact of the fellow’s project.

The goal of the project is to build a community of new and established White-Williams Scholars alumni through the coordination of tailored communication, activities and events which feed back into the support of current students.

There may be rare occasions in which the fellow would be required to travel.  They should carry a driver's license or other form of identification for entry into office buildings in Center City.

Section VI: Supervision/Resources

Please briefly describe plans for supervision of fellow:

1. The fellow will be primarily supervised by the Director of Development with additional direction from the Program Director.  We will use a weekly check-in system to monitor the fellow’s progress and deal with any issues or challenges that may arise.

What methods, information, or data will you use to evaluate the fellow’s success in their position and your agency’s success in meeting your community need?

2. We will establish benchmarks to review the progress made towards goals on a quarterly basis.  After open dialogue we’ll discuss any changes that need to be addressed and make revisions accordingly.
